Your Shopify collaborator request keeps failing. Here is why.

Eight reasons a request bounces, what each error really means, and which ones are Shopify’s fault rather than yours.

Short answer

Most failed collaborator requests come down to four things: you used the store’s normal domain instead of its .myshopify.com one, the merchant has a four-digit request code switched on that you do not have, your email is still attached to an old staff account on that store, or a previous request was declined and Shopify is now blocking new ones automatically.

The rest are genuine bugs Shopify has confirmed this year. Below, each error message with the actual fix.

The eight failures, in order of how often they happen

Work down the list. The first three account for most of what goes wrong, and all three are fixable in a couple of minutes once you know what you are looking at.

Failure 01 · most common by far

Shopify says it cannot find the store

What you seeNo store found with that domain. Check the address and try again.

What is actually happening

You typed the domain the client gave you, something like glowskincare.com. Shopify no longer accepts that. The request form wants the store’s permanent address, which always ends in .myshopify.com and is usually nothing like the public one.

This trips up almost everyone once, because the old flow did accept normal domains and nothing announced the change.

The fix

  1. Find the permanent domain. Fastest way: paste the store address into the domain finder, or add /meta.json to the store’s address and look for myshopify_domain.
  2. Copy it exactly, including the .myshopify.com ending.
  3. Paste that into the request form instead. Do not include https:// or a trailing slash.

Failure 02 · very common

The store requires a code you do not have

What you seeThe collaborator request code you entered is incorrect. Or a code field appears that you cannot fill.

What is actually happening

Merchants can switch on a four-digit collaborator request code, which means nobody can request access without it. It is a good security feature and a terrible surprise, because plenty of merchants turn it on and forget they did.

Guessing is pointless. There are ten thousand combinations and Shopify does not tell you when you are close.

The fix

  1. Message the merchant and ask them to go to Settings, then Users in their Shopify admin.
  2. Under the collaborator section they will see the code, or an option to turn the requirement off entirely.
  3. Ask for the code and the myshopify domain in the same message. Two round trips for two facts is how a fifteen-minute job becomes a two-day job.

Worth noting: Shopify’s own documentation says the code is not always required, and developers have reported that the flow is inconsistent when an app is already installed on the store. If the merchant insists they have no code enabled but you are still blocked, that is failure 04 or 05 territory.

Failure 03 · common with repeat clients

“Email is already in use”

What you seeEmail is already in use. Or: that email is associated with a staff account on this store.

What is actually happening

Your email address is already attached to that store in some other form, usually an old staff account from a previous engagement. Shopify will not let the same email be both a staff member and a collaborator on one store.

The frustrating part: merchants have reported this error even after fully deleting the old staff account, with the deletion confirmed in both the user list and the security log. The block sometimes outlives the account.

The fix

  1. Ask the merchant to check Settings, then Users for your email under staff accounts, and remove it if it is there.
  2. Have them also check archived or deactivated users, not just the active list.
  3. If it is genuinely gone and you are still blocked, request from a different Partner account email if you have one. This is the workaround that actually unsticks people.
  4. Otherwise the merchant needs to contact Shopify support. You cannot clear it from your side.

Failure 04 · confirmed bug

“Declined by the merchant” when the merchant declined nothing

What you seeYour collaborator request was declined by the merchant.

What is actually happening

If a request to that store was ever declined, even once, even by accident, Shopify can start auto-declining everything that follows. One developer documented exactly this: the merchant declined once by mistake, then generated a brand new request code and handed it over, and the fresh request was still instantly rejected without the merchant touching anything.

You will burn an afternoon on this if you assume it is your mistake. It is not. Nothing you change on your end fixes it.

The fix

  1. Stop resending. Each attempt makes the pattern worse and tells you nothing new.
  2. Flip the direction: ask the merchant to invite you from their admin rather than you requesting. Settings, then Users, then add a collaborator and enter your Partner email.
  3. If the invite route is also blocked, the merchant has to open a Shopify support ticket. Requests from your side will not clear it.

Failure 05 · confirmed bug

“Reactivation requests are throttled”

What you seeReactivation requests are throttled. Please try again later.

What is actually happening

You cancelled a request, or a previous collaboration ended, and now Shopify has rate-limited you on that specific store. Developers have reported waiting, retrying, and getting the identical message with no indication of how long the cooldown lasts.

Related and equally annoying: cancel your own pending request and try to send a fresh one, and you can get bounced with “email is already in use” instead, because the cancelled request still occupies the slot.

The fix

  1. Check with the merchant first. Often the original request is still sitting in their admin marked “request sent” and they can simply approve it. The throttle is on creating a new one, not on approving the old one.
  2. If it is genuinely gone on their side, ask them to invite you instead. Merchant-initiated invites are not throttled the same way.
  3. Do not cancel a pending request unless you have to. That single action causes most of these.

Failure 06 · confirmed bug

Request approved, but you cannot do the job

What you seeNo error at all. You are in, but the permission you asked for is not there.

What is actually happening

You ticked a permission when requesting, most commonly Manage and install apps. The merchant approved. But when it landed, that specific box was not actually checked on your account. Developers reported having to explain to every merchant that they need to go create a new role manually after approving.

This one looks like your mistake and is not, which makes it the most embarrassing of the eight.

The fix

  1. Before telling the client anything is wrong, check what you actually got in your Partner dashboard under that store.
  2. Ask the merchant to open Settings, then Users, click your collaborator entry, and tick the missing permission directly.
  3. For future requests, tell the client up front which permissions to expect. If a box is missing on arrival, they already know to add it and you look prepared instead of broken.

Failure 07 · not really an error

Total silence after you send it

What you seeStatus: Request sent. Forever.

What is actually happening

Usually one of three things. The merchant never saw the email, because it went to a shared inbox nobody reads or straight to spam. Or they saw it and stalled, because you asked for more access than the job justified and it made them nervous. Or the request landed fine and they approved it, but Shopify stopped sending the confirmation email on the newer dashboard, so you never found out.

That last one is real and was flagged by developers: the acceptance notification quietly disappeared, and merchants rarely think to tell you separately.

The fix

  1. Check your own Partner dashboard before chasing. It may already say active.
  2. Ask the merchant to look in their admin under Settings, then Users for a pending collaborator request, rather than hunting for an email.
  3. Reduce what you asked for. Requesting Themes only, when the job is a theme fix, gets approved dramatically faster than requesting everything.

Failure 08 · merchant-side

The merchant genuinely cannot approve you

What you seeMerchant says the approval link goes to a blank page, or they see no option to accept.

What is actually happening

Two separate causes. Sometimes the links in Shopify’s notification email have failed, sending merchants to an empty page instead of the approval screen. Other times the person you are talking to simply does not have permission to approve collaborators, because on many stores only the account owner or a user with the right permission can.

The fix

  1. Tell them to ignore the email entirely and go directly to Settings, then Users in their admin. The pending request is listed there.
  2. Confirm you are talking to the store owner. A marketing manager often cannot approve this, and will not necessarily know that.
  3. If neither works, the store owner opens a support ticket. There is nothing on your side left to try.

Who can actually fix each failure

Half of these are not solvable from your dashboard, no matter how many times you resend. Knowing which half saves the afternoon.

The instinct is to hit send again. It has never once been the answer.

How to never hit these again

Send one message at the start of every engagement that asks for all three things at once: the permanent myshopify domain, the collaborator request code if they use one, and confirmation that the person you are speaking to can approve access. Three facts, one message, no ping-pong.

Copy this, adjust the name

Hi Sarah, before I can start I need to request access to your Shopify store. Two quick things from you:

1. Log into your Shopify admin and send me a screenshot of the full browser address bar. It will look like admin.shopify.com/store/something. That tells me the exact store to request.

2. Go to Settings, then Users. If there is a collaborator request code shown there, send me those four digits. If there is nothing, no problem.

Once I have those I will send the request. You will get it in your admin under Settings then Users, and you can approve it there. I am only asking for Themes access, nothing else, so I cannot touch your orders or customer data.

Why this works: it asks for a screenshot instead of jargon, it names the exact place to look, it tells them where the request will appear so they are not hunting an email, and the last line pre-empts the hesitation that causes failure 07.

Common questions

How long should a collaborator request take to be approved?

Minutes, if the merchant is at their desk and you asked for narrow permissions. There is no built-in delay on Shopify’s side. If you are past a day, assume the notification did not reach them and ask them to check Settings then Users directly rather than looking for an email.

Can I send a collaborator request without the four-digit code?

Only if the merchant has not enabled the requirement. When it is switched on, the request cannot go through without it and there is no workaround from your side. Shopify’s documentation says a code is not always required, but developers have reported inconsistent behaviour, so always ask rather than assume.

Why does Shopify say my email is already in use when I have never worked on this store?

Your email is attached to that store somewhere you have forgotten, or it was added by someone else. Ask the merchant to search their user list for your address, including deactivated and archived users. If it is genuinely absent and you are still blocked, requesting from a different Partner account email is the reliable workaround.

The merchant declined my request by accident. Can they undo it?

Not by re-approving, because the original request is gone. Have them invite you instead from Settings then Users. Be aware that Shopify has been known to auto-decline follow-up requests to a store after an earlier decline, even with a fresh code, so the merchant-initiated invite is the more reliable route.

Should I ask for full admin access to save time later?

No. It is the single biggest cause of requests sitting unapproved. A client who is asked for everything hesitates and asks colleagues; a client asked only for Themes clicks approve. You can always request additional permissions later, and asking narrowly is also what stops a mistake on your part becoming a serious one.

Does a collaborator account cost the merchant anything?

No. Shopify’s documentation is explicit that collaborators do not count towards a store’s user limit, so they do not consume a paid staff seat. The merchant can also revoke access at any moment from their admin. Both facts are worth saying out loud to a hesitant client.
